1. Agreement to Terms
By accessing or using the Staffora platform ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree to these Terms, you may not access or use the Service.
These Terms also incorporate our Privacy Policy, which describes how we collect, use, and protect your personal data.
If you are using the Service on behalf of an organisation, you represent and warrant that you have the authority to bind that organisation to these Terms. In such cases, "you" and "your" refer to that organisation.
2. Description of Service
Staffora is a free, open-source Human Resource Information System (HRIS) designed to help organisations manage their workforce efficiently. The platform includes the following modules:
- Core HR
- Time & Attendance
- Leave Management
- Performance Management
- Recruitment
- Learning Management (LMS)
- Benefits Administration
- Onboarding
- Succession Planning
- Analytics & Reporting
We reserve the right to modify, suspend, or discontinue any part of the Service at any time, with or without notice. We will make reasonable efforts to notify you of significant changes.
3. Account Registration
To use the Service, you must create an account. When registering, you agree to:
- Provide truthful, accurate, and complete information
- Maintain the security and confidentiality of your login credentials
- Be at least 18 years of age
- Maintain only one account per person
- Immediately notify us at contact@staffora.co.uk if you suspect any unauthorised access to your account
You are responsible for all activity that occurs under your account, whether or not you have authorised such activity.
4. Licence & Cost
Staffora is free and open-source software distributed under the terms of its open-source licence. There are no subscription fees, billing cycles, or hidden charges. You are free to use, modify, and distribute Staffora in accordance with the licence terms.
5. Data Ownership
Your data is yours. You retain all rights, title, and interest in and to your data. By using the Service, you grant Staffora a limited, non-exclusive licence to process your data solely for the purpose of providing and improving the Service.
You may export your data at any time in the following formats: CSV, Excel, JSON, or via the API.
Upon termination of your account, your data will be retained for 30 days to allow you to export it. After this retention period, your data will be permanently and irreversibly deleted within 90 days.
6. Acceptable Use
You agree not to use the Service to:
- Engage in any illegal activity or violate any applicable laws or regulations
- Use the software in a manner that violates the terms of its open-source licence
- Share login credentials with unauthorised individuals or third parties
- Use bots, scrapers, or automated tools to access the Service without prior written authorisation
- Interfere with or disrupt the integrity or performance of the Service or its infrastructure
- Upload or transmit malicious code, viruses, or any harmful software
- Redistribute the software without adhering to the terms of the open-source licence
Violation of these terms may result in immediate suspension or termination of your account.
7. Privacy
Your privacy is important to us. Our Privacy Policy explains how we collect, use, store, and protect your personal data.
Staffora complies with applicable data protection regulations, including the General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA).
When processing personal data on your behalf, Staffora acts as a data processor. You remain the data controller and are responsible for ensuring that your use of the Service complies with all applicable data protection laws.
8. Intellectual Property
All intellectual property rights in and to the Staffora platform, including but not limited to the software, design, logos, trademarks, documentation, and any related materials, are and shall remain the exclusive property of Staffora Ltd.
Customer Data remains the exclusive property of the customer. Staffora claims no ownership rights over data you upload, create, or store within the Service.
If you provide feedback, suggestions, or ideas regarding the Service, you grant Staffora a perpetual, irrevocable, worldwide, royalty-free licence to use, modify, and incorporate such feedback into the platform without obligation or compensation.
9. Limitation of Liability
To the maximum extent permitted by applicable law, Staffora shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, business opportunities, or goodwill, arising out of or in connection with your use of the Service.
Staffora is provided as free, open-source software. In no event shall the contributors or maintainers be liable for any claims arising out of or related to these Terms or the Service beyond what is required by applicable law.
The Service is provided on an "as is" and "as available" basis, without warranties of any kind, whether express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, and non-infringement.
10. Termination
Either party may terminate these Terms as follows:
- By you: You may terminate your account at any time by providing 30 days' written notice.
- By us (for breach): We may terminate your account immediately if you violate these Terms.
- By us (for any reason): We may terminate your account with 30 days' written notice for any reason.
Upon termination, you will have a 30-day window to export your data. After this period, data will be permanently deleted in accordance with Section 5.
Sections 5 (Data Ownership), 8 (Intellectual Property), 9 (Limitation of Liability), and 12 (Governing Law) shall survive termination of these Terms.
11. Changes to Terms
We may modify these Terms at any time. When we do, we will update the "Last updated" date at the top of this page.
For material changes, we will provide at least 30 days' notice via email to the address associated with your account. Your continued use of the Service after the effective date of any changes constitutes your acceptance of the revised Terms.
12. Governing Law
These Terms shall be governed by and construed in accordance with the laws of the State of Delaware, USA, without regard to its conflict of law principles.
Any disputes arising out of or in connection with these Terms shall be subject to the exclusive jurisdiction of the state and federal courts located in Wilmington, Delaware.
